Data Requests

If you'd like to access, correct, or request deletion of your information, or if you have another privacy question about OpenMat, we review these requests by hand. Here's how it works.

What you can request

  • Access — a copy or summary of the information we hold about you.
  • Correction — fixing inaccurate account or profile information.
  • Account deactivation or removal — removing your access to the Service.
  • Deletion — removing your personal information where appropriate.
  • Other privacy questions about how your information is used.

How to submit a request

Email support@useopenmat.com with your request. To help us find and verify your account, please include:

  • Your full name and the email address associated with your account.
  • Your gym or organization name (and location, if known).
  • A short description of what you're requesting.

Please do not send your password or any other login credentials — we will never ask for them, and we don't need them to process your request.

Requests for a junior member or junior user

A parent, guardian, or other legally authorized representative can request access, correction, deletion, or other privacy handling for a junior (minor) member student or a junior coach or staff user of a participating organization. Email support@useopenmat.com and include:

  • Your full name and relationship to the junior member or user (parent, guardian, or other legally authorized representative).
  • The junior member or user's full name, and the gym or organization name (and location, if known).
  • A short description of what you're requesting.

Because these requests involve another person's information, we may coordinate with the participating organization and may reasonably verify your identity and your authority to act on the junior member's or user's behalf before disclosing or changing their data.

What happens next

A person reviews every request. Because OpenMat accounts are managed by participating organizations, some requests (such as account deactivation) may need to be coordinated with your organization's administrator. We may also reasonably verify the requester's identity, and authority to act on someone else's behalf, before disclosing or changing another person's data.

Some employment, payroll, scheduling, attendance, safeguarding, financial, legal, or other recordkeeping-obligated records may need to be retained by your organization or by OpenMat even after a request. Deactivating an account is not the same as immediately destroying all related organizational records, and a deletion request does not guarantee immediate destructive deletion of every record.
